Return & Refund Policy

1. Scope of This Policy

This policy applies to all orders placed on japan-clothing.com, regardless of delivery destination. It governs the conditions under which a Customer may return a product and obtain a refund. It complements — and does not limit — any mandatory consumer protection rights the Customer may have under their local jurisdiction.

By placing an order on the Site, the Customer acknowledges having read, understood, and accepted this policy in its entirety, together with our Terms of Service and Privacy Policy.

2. Your Right to Return — 30 Days

At Japan Clothing, we want every Customer to be fully satisfied with their purchase. If for any reason you are not happy with your order, you may return it within 30 calendar days after the day you receive your parcel.

This 30-day return window exceeds the statutory minimum withdrawal period required under European consumer law (14 days under Directive 2011/83/EU and articles L221-18 to L221-28 of the French Code de la consommation). We voluntarily extend this protection to all Customers worldwide, regardless of jurisdiction.

3. What Can Be Returned

All products sold on the Site are returnable and refundable under the conditions set out below. We do not apply special exceptions for sale items, accessories, or specific categories. Every product you order from us may be returned for a refund, provided the conditions of section 4 are met.

Statutory exclusions to the right of withdrawal listed in article L221-28 of the French Code de la consommation (e.g. custom-made items, sealed hygiene products opened after delivery, perishable goods) do not apply to our catalogue, as we do not sell these categories of products.

4. Return Conditions

To be eligible for return and full refund, items must be:

  • In their original condition, unworn, unwashed, and unused, except for the manipulation required to ascertain the nature, characteristics, and proper functioning of the product;
  • Returned with all original tags, labels, packaging, and accessories intact;
  • Free from any damage, stains, odors (including perfume, cigarette smoke, or pet hair), or signs of use beyond reasonable inspection;
  • Returned within the 30-calendar-day window starting from the day after delivery.

In accordance with article L221-23 of the French Code de la consommation, the Customer's liability may be engaged only in case of depreciation of the goods resulting from handling other than that necessary to establish the nature, characteristics, and proper functioning of the goods. In such cases, we may apply a proportional deduction to the refund. The Customer will be notified before any deduction is applied, and a written justification will be provided.

5. How to Initiate a Return

All returns are managed centrally by Japan Clothing's customer service team. The Seller's administrative address indicated in section 26 (7 rue du Tangor, 11100 Narbonne) is not a return address. Do not ship returned items to this address — they will not be processed.

The actual return destination is the warehouse of our logistics partner, which may be located in France, within the European Union, or outside the European Union depending on the original origin of the product. The exact return address and instructions are provided individually to each Customer via the prepaid return label we issue, in accordance with the steps below.

To start a return, please follow these steps:

  1. Email us at support@japan-clothing.com within 30 calendar days of receiving your order;
  2. Include your order number, the items you wish to return, and optionally the reason for the return (the latter is not required but helps us improve our service);
  3. We will respond within 24 hours (Monday to Sunday) with personalized return instructions and a prepaid return shipping label directing the parcel to our logistics partner's warehouse;
  4. Print the label, package your items securely (original packaging preferred), attach the label exactly as provided, and drop the parcel at the nearest authorized carrier location indicated in our email;
  5. Keep your proof of drop-off (tracking number, carrier receipt) until the refund is fully processed.

Please do not send a return without first contacting us — without our prepaid label, your parcel may be lost, delayed at customs, charged import duties that will not be reimbursed, or refused on delivery. Returns sent without prior notice may not be processed.

Alternatively, in accordance with article L221-21 of the French Code de la consommation, you may exercise your right of withdrawal by submitting any other unambiguous statement expressing your wish to withdraw before the expiry of the withdrawal period. A standard withdrawal form template is available on request at support@japan-clothing.com.

6. Return Shipping — Fully Covered by Japan Clothing

Japan Clothing covers the full cost of return shipping, including any international transport charges and customs-related fees associated with the return. You will receive a prepaid return label after contacting us. You do not need to pay anything out of pocket to return an item.

This commitment applies worldwide. Where local carrier coverage is limited, we will arrange an alternative return method at no additional cost to the Customer.

Logistics network and return destination. Japan Clothing operates through a network of international logistics partners. Depending on the product line, the returned parcel may be directed to a warehouse located in France, within the European Union, or outside the European Union (including, where applicable, our partner's warehouse in Asia). The Customer does not need to identify the correct destination — this is entirely managed by us through the prepaid label, including all customs declarations, transit documents, and import/export formalities where required.

Important: the Customer must use only the prepaid label we provide. Returns shipped to any other address, including the Seller's administrative address at 7 rue du Tangor, 11100 Narbonne, will not be processed and the corresponding refund cannot be guaranteed.

7. Right of Withdrawal — Statutory Rights

For Customers residing in the European Union, the United Kingdom, the European Economic Area, Switzerland, or any other jurisdiction granting a statutory right of withdrawal, this right is fully preserved under this policy. You may cancel your order without giving any reason within the statutory period applicable to your jurisdiction (typically 14 calendar days under EU law).

Our 30-day return window voluntarily extends this statutory protection. The longer of (i) the statutory withdrawal period applicable to you and (ii) our 30-day return window will always apply.

To exercise your right of withdrawal, contact us at support@japan-clothing.com within the applicable window. No specific form is required, although a model withdrawal form is available on request and is annexed to article L221-23-1 of the French Code de la consommation.

8. Customers Residing in the United States

Customers residing in the United States retain all rights granted under applicable federal and state consumer protection laws, including but not limited to:

  • The right to file a chargeback with the issuer of their payment card under the Fair Credit Billing Act (FCBA);
  • The right to contact their State Attorney General's office regarding unresolved disputes;
  • The right to pursue claims in small claims court within the jurisdictional limits applicable to their state;
  • Where applicable, additional rights under state-specific consumer protection statutes (including but not limited to California's CCPA, the New York General Business Law § 218-a regarding return policies, and similar state laws).

Nothing in this policy is intended to limit or waive any statutory consumer right available to a US-based Customer.

9. Refund Processing Time

Once we receive your returned parcel and confirm the items meet the return conditions:

  • Average refund processing time: 7 to 10 business days after we receive the returned items;
  • Maximum statutory refund time: 14 calendar days from the day we are informed of your decision to withdraw, in accordance with article L221-24 of the French Code de la consommation;
  • Maximum guaranteed refund time: 30 calendar days in all cases.

In accordance with article L221-24 of the French Code de la consommation, we may defer reimbursement until we have received the goods back, or until the Customer has supplied evidence of having sent the goods back, whichever is earlier.

Refunds are issued to the original payment method used at checkout. Depending on your bank, card issuer, or payment provider, additional internal processing delays of 2 to 5 business days may apply before the funds appear in your account. These delays are outside our control.

10. Refund Method

Refunds are always issued to the same payment method used for the original purchase, in compliance with anti-money laundering and consumer protection regulations:

  • Credit or debit card: refund credited to the same card;
  • PayPal: refund credited to your PayPal account;
  • Shop Pay, Apple Pay, Google Pay: refund credited to the linked card or account;
  • Other payment methods: refund issued to the original method of payment.

We do not offer refunds in the form of store credit, gift cards, or alternative payment methods unless the Customer specifically requests this alternative in writing.

11. Partial Returns

If your order contains multiple items and you wish to return only some of them, you may do so. The refund will cover only the returned items at their unit price as displayed at checkout, plus, where applicable, a proportional share of any shipping or discount amount applied to the original order, calculated on a pro rata basis.

The remainder of your order remains valid and is not affected by the partial return.

12. Exchanges

We do not process direct product exchanges. If you would like a different size, color, or product, please:

  1. Return the original item following the standard return process for a full refund;
  2. Place a new order for the desired item.

This is the most efficient way to ensure you receive exactly what you want without unnecessary delays. Should stock be limited, we recommend placing the new order before returning the original item.

13. Order Cancellation Before Shipment

If you wish to cancel your order before it has been dispatched, please contact us at support@japan-clothing.com as soon as possible. If the order has not yet been shipped, we will cancel it and issue a full refund of the total amount paid (including any shipping costs) without any deduction, within the timeframes set out in section 9.

Orders that have already been dispatched cannot be cancelled — in that case, please follow the standard return process once you receive the parcel.

14. Damaged, Defective, or Incorrect Items

If you receive an item that is damaged, defective, or different from what you ordered, you benefit from the legal guarantees set out below in section 16. To report such an issue:

  1. Photograph the item and the packaging as received;
  2. Email us at support@japan-clothing.com within 48 hours of delivery (or longer where legally permitted), including your order number and photos;
  3. We will, at your choice, send you a replacement at no cost, or issue a full refund — including all shipping fees originally paid.

In these cases, we handle all logistics on our side. You typically do not need to return the damaged or incorrect item unless we specifically request it. If a return is requested, we will provide a prepaid label.

15. Lost Returns and Carrier Issues

To protect yourself and to ensure your refund, we strongly recommend:

  • Using only the prepaid return label we provide;
  • Keeping proof of drop-off from the carrier until the refund is issued;
  • Packaging the items securely to avoid damage during transit.

If a return parcel is lost in transit by the carrier and you can produce valid proof of drop-off, we will handle the claim with the carrier on your behalf and process your refund within the standard timeframes set out in section 9. Refunds in case of carrier-lost returns are guaranteed when proof of drop-off is provided.

16. Legal Guarantees (Conformity and Hidden Defects)

Independently of this commercial return policy, the Customer benefits from the following mandatory legal guarantees under French law, which apply to all Customers and cannot be waived:

  • Legal guarantee of conformity (articles L217-3 to L217-17 of the French Code de la consommation): the Seller is liable for any lack of conformity of the goods existing at the time of delivery, for a period of two years from delivery. The Customer may choose between repair and replacement, subject to the cost conditions set out in article L217-12.
  • Guarantee against hidden defects (articles 1641 to 1649 of the French Code civil): the Seller is liable for hidden defects in the goods sold that render them unfit for their intended use, or that diminish this use so much that the Customer would not have purchased, or would have purchased at a lower price, had they known. The action must be brought within two years of the discovery of the defect.

To exercise either legal guarantee, contact support@japan-clothing.com with a description of the issue, photos where applicable, and your order number. No additional cost is borne by the Customer for the exercise of these guarantees.

17. Non-Refundable Situations

While all products are fully refundable under normal conditions, refunds may be reduced or declined in the following limited cases:

  • Items returned outside the 30-calendar-day window (subject to applicable statutory rights and to section 16 on legal guarantees);
  • Items returned in a significantly worn, washed, used, damaged, or altered condition beyond reasonable inspection;
  • Items returned without original tags, labels, or essential packaging;
  • Items that show clear and substantial signs of extended use (not merely trying on).

In all such cases, we will contact you before applying any deduction, explain the situation transparently, and provide written justification. The Customer retains the right to contest such a decision through the dispute resolution mechanisms described in section 21.

18. Force Majeure

Neither the Customer nor the Seller will be held liable for delays or failures in the performance of return or refund obligations resulting from events of force majeure, as defined under article 1218 of the French Code civil — including but not limited to natural disasters, strikes affecting carriers, customs blockades, pandemic-related restrictions, war, terrorism, or government acts preventing performance.

In such cases, the affected party will notify the other within a reasonable timeframe, and the obligations affected will be suspended for the duration of the force majeure event. Refund timeframes specified in section 9 will be extended proportionally.

19. Personal Data Processing in Return Operations

The processing of personal data in connection with a return (your name, address, payment data, return reason, etc.) is governed by our Privacy Policy and complies with the EU General Data Protection Regulation (Regulation EU 2016/679 — GDPR), the French Loi Informatique et Libertés as amended, the UK Data Protection Act 2018, and where applicable the California Consumer Privacy Act (CCPA).

The legal basis for this processing is the performance of a contract to which you are a party (article 6.1.b of the GDPR) and compliance with our legal obligations (article 6.1.c). Data is retained for the period required by accounting and tax law (typically 10 years for invoices in France).

20. Customer Service

Our customer service is available 7 days a week to assist with any return, refund, or order-related question:

All requests are answered by a human team member. We do not use automated bots or AI to respond to customer service requests.

21. Dispute Resolution

In the event of a dispute, the Customer is encouraged to contact us first at support@japan-clothing.com so that we can seek an amicable resolution. We commit to acknowledging any complaint within 48 hours and to providing a substantive response within 14 calendar days.

For Customers in the European Union, the European Commission provides an Online Dispute Resolution (ODR) platform, accessible at: https://ec.europa.eu/consumers/odr. This platform allows consumers and traders to settle online disputes out of court.

For Customers in the United States, alternative dispute resolution may be available through your State Attorney General's office, the Better Business Bureau (BBB), or via small claims court within your state's jurisdictional limits.

Nothing in this section limits the Customer's right to bring proceedings before a competent court.

22. Updates to This Policy

We may update this Return & Refund Policy from time to time to reflect changes in operational practices, regulatory developments, or legal requirements. The version applicable to your order is the one in force on the date of your order. The "Last updated" date at the top of this page indicates when changes were last made.

Material changes will be communicated through reasonable means (e.g. notice on the homepage, email to subscribers) before taking effect.

23. Governing Law and Jurisdiction

This Return & Refund Policy is governed by French law. It complements — and does not limit — any mandatory consumer protection rights applicable under the Customer's local law.

For Customers residing in France, any dispute concerning the formation, interpretation, performance, or termination of this policy shall, in the absence of an amicable resolution, fall under the jurisdiction of the competent French court applying the rules of article R631-3 of the French Code de la consommation (typically the court of the Customer's domicile, or the court of the place of delivery).

For Customers residing outside France, the Customer's mandatory local consumer protection rules remain fully applicable. Any dispute may be brought, at the Customer's choice, before the courts of their place of residence or before the competent French courts.

24. Severability

If any provision of this policy is held to be invalid, illegal, or unenforceable by a competent court or regulatory authority, the remaining provisions shall remain in full force and effect. The invalid provision shall be deemed replaced by a valid provision reflecting as closely as possible the original intent.

25. Language

This Return & Refund Policy is drafted in English for the international market served by japan-clothing.com. In the event of a conflict between this version and any translation, the English version shall prevail, except where mandatory consumer protection law requires the application of a translated version.
